“Savings of 2 FTEs through automated invoice processing”
The Morssinkhof Group processes approximately 10,000 invoices per year. Invoice processing is handled entirely by the six employees in the finance department. The switch to Easy Invoice from 4CEE has resulted in savings for the Morssinkhof Group in this department of no less than 2 FTE.
The Morssinkhof Group is a manufacturer of concrete paving materials and a supplier of street bricks and facade bricks. They also offer an extensive range of decorative paving for the garden market. In addition to its manufacturing and trading activities, the Morssinkhof Group provides services in the areas of urban styling and garden design. Through these services, they target landscape architects, urban planners, and project developers.
The transition to digital workflows
Until 2013, the invoice processing workflow at the Morssinkhof Group was entirely paper-based. This way of working was causing increasing inconvenience for the growing organization. The benefits of switching to automated invoice processing were clear: convenience and clarity. Geert Morssinkhof, product/process engineer at the Morssinkhof Group: “The process we had back then was too cumbersome for our growing organization. With multiple locations, it was difficult to manage and lacked clarity. We wanted less paper and, above all, no more hassle with printing and scanning invoices. By automating this process, the approval workflow would become much simpler for us, and it would be much easier to retrieve invoices from a digital archive.”
Clear explanation and reasonable price
“4CEE provided a clear explanation of exactly what we could expect and, unlike its competitors, offered a reasonable price. All of that combined was the deciding factor for us in choosing to partner with 4CEE,” says Geert Morssinkhof, product/process engineer at Morssinkhof Group.
Morssinkhof continues: “The standard solution offered by MS Dynamics AX wasn’t good enough for us and was too expensive. For us, integration with our ERP system was therefore a very important selection criterion. In addition, we have a relatively small number (10,000) of invoices per year, for which we wanted a suitable solution at a good price. 4CEE provided a clear explanation of exactly what we could expect and, unlike its competitors, offered a realistic price. All of that combined was the deciding factor for us in choosing to partner with 4CEE.”
Simplicity and clarity
The Morssinkhof Group is clearly seeing the benefits. The process has become much simpler. PDF invoices no longer need to be printed, and paper invoices are converted to digital format. Currently, about half of the invoices are received as PDFs and the other half on paper. “This has happened in just three years. Before that, everything still came in on paper. In my opinion, it’s therefore a realistic expectation that in three years we’ll be at 50% XML invoices and 50% PDF invoices, which will bring us even more benefits. XML invoices aren’t used very widely yet. A number of suppliers are already using them, though, and it works really well. This is because it virtually eliminates the need for any manual processing. It would be great if we could implement this with all suppliers in the near future.”
Experiences so far
“The implementation went according to plan and—very important to us—the collaboration was good. The integration with MS Dynamics AX remains challenging, but fortunately, 4CEE is handling this well. Now that the solution is fully operational, we’re very satisfied; we really appreciate being able to contact the support department directly when needed. The administrative process runs much more smoothly, and thanks to the time savings, we can handle the administrative workload with two fewer staff members. These employees can now be assigned to other useful tasks.”
